OOKSLIFE FOR CLUBS

Users can login to Ooks Life using their NAIT credentials, the same used to access MyNAIT Portal. Once logged in, you can view a wide array of events and opportunities provided by NAITSA as well as multiple NAIT departments.

NAITSA clubs can be viewed and joined on this online platform. Campus Clubs administers various club services on Ooks Life including club registration, banking, event creation, grant funding, award nominations and much more.

Both NAITSA and NAIT provide students with a chance to record their volunteer and personal development experiences using the Ooks Life Involvement Record.

Navigating Ooks Life is simple! The left-hand navigation menu allows you to explore all available events, organizations, news, forms and services. Clicking individual organizations or branches in which you are a member allows you to explore them in greater detail.

The search bar can help find events, organizations, news and forms by keyword.

The right-hand menu area includes submissions, notifications and the personal user drawer. The user drawer dropdown gives you access to your paths, event history, memberships, experiences, service hours, involvement record, submissions and downloads.

Editing your account is possible using the pencil icon. While the Event Pass (QR code) allows you to check-in to events you’ve RSVP’d.

This guide outlines the navigation of the Ooks Life website. More specifically, the structure of Explore, Manage and Admin* view(s). * Visible to select users only.

Explore

1. Expand or hide left-hand navigation menu
2. Explore Events, Organizations, News, Forms and Service using the items at the top of the left-hand menu
3. Click individual Organizations or Branches in which you are member to explore them from a general user view
4. Use the search bar to explore Events, Organizations, News and Forms by keyword

Manage

5. Click the gear icon next to an Organization or Branch to view a list of Management Tools Personal Menu
6. User Drawer
7. Submissions and Notifications

CLUB PATHS

To help our club leaders get ready for their roles, we offer training to build a solid foundation and make everything run more smoothly. Imagine it like preparing for a big presentation: you wouldn’t jump in without first researching your topic and organizing your slides. Our training is here to help you get everything set so you can tackle your responsibilities with confidence.

Our club training is delivered through PATHS, a self-paced online program with videos and content to walk you through key tasks. One handy feature of PATHS is that it tracks your overall progress, so you always know how far you’ve come. Plus, completing each PATH is crucial, as it unlocks access to important funding for your club.

Each Path is made up of main topics (Domains), and there are items within the Domains to review and complete.

There are two CLUB PATHS available, each are valuable and designed to cover different aspects. Depending on your club’s goals, you may choose to complete one or both. However, it’s expected that the VP Operations, VP Finance, and President roles will complete the relevant PATHS. General members are also welcome to dive into the PATHS to boost their skills and contribute more effectively to the club.

CLUB BASIC TRAINING PATH

The CLUBS Basic Path training is the most foundational training for running your club. It includes:

  • Introductory Knowledge: reference to the Clubs Handbook Microsite.
  • How-To Videos: Guiding you through the Ooklife.ca platform for club operations.

Who should complete it?
VP Operations, VP Finance, and the President. The club can also encourage other executive members and general members to complete this training for a better understanding of club operations.

When does it need to be completed?
Ideally, complete this training within the beginning stages of your term.

If applying for grant funding, ensure this Path completed by the firm deadline prior to the grant intake your club is intending to apply for.

(Important note: both CLUB training paths are a requirement for grant eligibility)

Financial benefit associated with completing this Path:

Kickstart Funds ($100) is associated with completing this Path.

To request this funding, follow these steps:

1. Ensure your organization is fully registered (or re-registered for returning groups).
2. Confirm that all financial signing authorities have completed the Basic Training Path.
3. Schedule and complete a check-in with Campus Clubs Manager.
4. Submit the Kickstart form to request $100 in funding.

Grant Eligibility Criteria:
Completing this path is one of the two requirements needed to qualify for funding.

CLUB ADVANCED TRAINING PATH

The CLUBS Advanced Training Path enhances club operations beyond basic tools, optimizing your activities and engagement with Service Hours, Elections, Grant funding, GIV’ER and more.

Who should complete it?
VP Operations, VP Finance, and the President

When does it need to be completed?
Ideally, complete this training within the beginning stages of your term.

FORMS & DOCUMENTS

In Ookslife.ca both the Forms and Documents features allows users to take advantage of versatile tools.

With the Forms feature you can:

  • easily create tailor made forms and questionaires to collect information from your club members.
  • provides a seamless way to gather data and ensure it transfers to future generations of your club.

The Documents feature offers:

  • ability to create and manage documents
  • making it convenient to store and share important files within your club.
  • Adjustable viewing access to your club’s Documents

By utilizing both Forms and Documents, you can optimize your club’s operations and enhance collaboration among members on Ookslife.ca to create, share, manage all your organization documents. It is also key to a smoother transition for future generations of your club.

EVENTS VIDEO

To host events, clubs must submit an Event Submission. Why is this important? Here’s what happens:

  • Your event is created on the platform.
  • Your space is booked.
  • Services like the E-commerce (NAITSA Shopify), Eventbrite, Square, SATVs, and Nugget highlights are requested.
  • Posters are approved.
  • Your event is published, and you choose the audience.

HOW TO USE CHEQROOM VIDEO

All club resources available for booking are listed on the CHEQROOM. Here’s a video tutorial to guide you through using the platform. Please note that the video needs an update regarding email references. Wherever the video mentions the “startclubs@nait.ca” email address, please use the “askclubs@nait.ca” email address instead.

HOW TO ATTAIN BASIC FOOD SAFETY CERTIFICATION

When your club is planning an event where food will be served, it’s required to have at least one person on shift who holds a food safety certificate to supervise. We strongly recommend that as many members as possible obtain this certificate.

This is a basic food safety course (not at the high level required for restaurant professionals), and the certificate is valid for five years.

STEPS FOR FREE COURSE

  1. Go to ahs.ca/ephed. Find “Online Courses” and choose “Alberta Food Safety Basics Interactive Course”.
  2. It will lead you to another page and choose “Register Here” to sign up for a new account.
  3. After filling in the Sign Up information, you will receive an email from Safe Healthy Environments for account activation, please follow the instructions on the email to activate your account. Now you can login with your username and password.
  4. Once logged in to your account, choose “Catalog” and choose the course that you are interested in. You should at least complete the “Alberta Food Safety Basics” course.
  5. It takes approximately 2 to 3 hours to complete the course and quiz. After completing the training, please download the certificate and upload it to the event form as needed. (Warning: Download Certificate immediately as inactive accounts on AHS website may be deleted without notice.)
NAITSA SQUARE

NAITSA Square is available to clubs to sell tickets and merchandise using debit, credit and mobile payment options in the absence of cash.

Club leaders must complete training with Campus Clubs staff to become recognized Square cashiers. Be sure to book your Square training session well in advance using the provided link.

CLUB ELEVATION SERIES

The Club Elevation Series is a group of workshops that focus on topics most relevant to club operations. The focus of these workshops is to provide an opportunity for professional development, networking with other club leaders and club members, and elevating your clubs’ operations!

There are three incentives available for attending Club Elevation Workshops in the 2024/2025 academic year:

1. Individuals who are marked attended at 5 or more Club Elevation workshops will receive a NAITSA Campus Clubs swag item.
2. Individuals who are marked attended at 10 or more Club Elevation workshops will receive a Clubs Elevation long sleeve shirt and can contribute their accomplishment towards the club incentive!
3. Clubs who have 3 different individuals that are marked attended at 10 or more Club Elevation workshops each will receive a Club Bonus of $100 added to club funds and a banner in their club gallery.

Individuals must decide which club they would like to assign their completion to. The individual can change the assigned club, but it can only be assigned to one club per person.

ROSTER FOR CLUBS

The roster area allows you to view and manage all your organization members as well as presenting those holding executive positions.

WHY IS the ROSTER IMPORTANT!

This area is crucial and plays key role in:

  • the assigning/creation of position roles,
  • inviting, editing and removing members.
  • tailor messaging within the club.
  • attendance tracking
  • Involvement record recognition
  • acting as your GIV’ER membership list
  • use for elections and informational polls
  • use and considerations in Grant processes

It’s crucial to ensure that everyone involved in your club, including any NAIT Staff Advisors, is accurately listed on the roster. Only members listed in the named club’s roster of the ookslife.ca are recognized as official members.

There is a “Join” button on your home page, it is the club’s responsibility to monitor the club’s prospective and pending members. Tip: Assign a role to take care of it.
